AAA Website Privacy Policy

AAA is committed to honoring the privacy of the users of the AAA Northwest Ohio web site. AAA will utilize any information collected from users to better understand their needs and provide better services. In addition, AAA will use the information it gathers to improve the content of the web site. If any personally identifiable information has been volunteered, AAA may utilize that information to notify users about updates to the web site and/or contact users for marketing purposes. The information that is personally identifiable will not be sold to any other organizations for commercial purposes.

Below is a list of non-volunteered information that will be collected automatically when visiting the AAA Northwest Ohio web site:

  • The referrer (the site prior to entering the AAA web site)
  • The IP address of the workstation
  • Date and time logged in and out
  • Pages visited while on our site
  • Time spent on each page
  • Files downloaded
  • Criteria used when searching/browsing our web site

If you supply a telephone number online, you may be contacted by AAA regarding orders placed online. Please be sure to provide AAA with the correct phone number.

The AAA Northwest Ohio Member Data Protection Policy was drafted to address the proper handling and care of member as well as non-member customer and prospect information. This is increasingly becoming an issue, as systems and processes are being developed to more readily capture, store and manipulate individual information.

Policy Statements

  1. AAA Northwest Ohio will limit the collection and use of information about its member and non-member customers and prospects to only that which is necessary to administer business, provide superior service and offer opportunities which AAA Northwest Ohio feels will be of interest to them.
  2. AAA Northwest Ohio will employ all feasible measures to ensure the accuracy, timeliness and completeness of member and non-member information.
  3. AAA Northwest Ohio will provide easy procedures for its member and non-member customers to report and quickly remedy inaccurate information.
  4. AAA Northwest Ohio will maintain information according to internal and Association security standards and policies. AAA member and non-member information will only be maintained on appropriate club system(s).
  5. AAA Northwest Ohio will restrict employee, agent and vendor access to member and non-member information to only those with a business need to know. AAA Northwest Ohio will educate their employees, agents and vendors about their responsibilities when handling individual information.
  6. AAA Northwest Ohio will restrict partner and other third party access to member and non-member information as outlined in the section that follows.
  7. AAA Northwest Ohio will not sell, lease, rent or give individual-specific information to non-partners.
  8. AAA Northwest Ohio will advise their members at least once per year that they have the option to remove their names from mail or telephone lists that AAA and approved partners use for marketing efforts. AAA Northwest Ohio will document continued compliance with this privacy.
  9. AAA Northwest Ohio will also provide non-member customers and prospects the option to be excluded from future AAA line-of-business and partner-initiated marketing efforts.
  10. AAA Northwest Ohio will apply the Direct Marketing Association's Mail Preference Service and Telephone Preference Service files to its member and non-member records upon receipt, and on a periodic basis; at minimum twice yearly. Matched records-indicating individuals who do not want to receive unsolicited direct mail and telemarketing promotional contacts will be excluded from all non-AAA (e.g. partner) outbound mail and phone marketing efforts.
  11. AAA Northwest Ohio will only use individual demographic, psychographics and lifestyle information for analytical and targeting purposes. This information will not be communicated directly to members and non-members in any written or verbal contacts.
  12. AAA Northwest Ohio will keep abreast of all privacy laws, policies, and standards that may restrict marketers' access to customer data.

Policy Regarding Partners' Access to AAA Data

  1. Partners must have a written agreement in place in order to promote to or otherwise use AAA Northwest Ohio's member and non-member information. This agreement must specify data use, duration and any restrictions that might apply.
  2. All AAA Northwest Ohio's partner marketing campaigns to AAA members—mail packages, telemarketing scripts and/or other intended efforts—must be approved by AAA Northwest Ohio prior to the request of a list. Final approval of partners' marketing campaigns is contingent upon review of the specific components (e.g., direct mail packages, telemarketing script) of the campaign.
  3. AAA Northwest Ohio's member and non-member information will only be maintained on the appropriate club systems. Partners may access this information through requests to AAA Northwest Ohio.
  4. Partners may only receive AAA member and non-member customer lists with the approval of AAA Northwest Ohio all lists must be generated by AAA Northwest Ohio, AAA National or by appropriate list service providers. AAA partners may not have the ability to directly generate AAA member or non-member lists.
  5. Lists provided to AAA partners are for one-time use, unless otherwise specified.
  6. AAA member lists will not be sent directly to AAA partners. AAA partners must use a third-party service bureau to handle these lists. Service bureaus must return or destroy these lists within 90 days of receipt, unless otherwise specified.
  7. AAA Northwest Ohio partners must also maintain do-not-mail and do-not-phone files. These names must be suppressed against the AAA Northwest Ohio list prior to solicitation.
  8. AAA Northwest Ohio partners must provide individual-specific promotion detail back to AAA in electronic format within two weeks of the solicitation. The final promotion file provided must include source codes on only those individuals who received the marketing contact and source code detail (promotion date, offer and package description).
  9. AAA Northwest Ohio partners must provide individual-specific campaign results back to AAA Northwest Ohio in hard copy and electronic formats. The timely manner and format in which these results must be provided will be established by the AAA Northwest Ohio and the partner prior to the campaign.
